Gemini or Copilot: Is the AI in Your Email Worth Paying For?

A half-open sage grey drawer on a bone-cream ground holding a grey envelope and a folded sheet, with a small acid green spark already tucked in its corner.

If you already pay Google or Microsoft for your business email, you probably have some of their AI already, and you may not need to pay for any more of it. Whether it's worth paying extra depends on which plan you're on and whether you'd use the AI inside documents and meetings or only in email. Here's how to tell what Gemini or Copilot already gives you, what the upgrade adds, and when a separate tool makes more sense.

Is the AI in Google Workspace or Microsoft 365 worth paying for?

For most sole traders and small teams, the version already in their plan is worth trying before paying a penny more. Google puts Gemini into its business plans as standard, and Microsoft gives eligible business subscribers a chat assistant at no extra cost. The paid step up only earns its fee if you spend real time every week writing documents, working in spreadsheets or sitting in video calls.

This suits an owner who already runs their email through Google or Microsoft and keeps seeing an upgrade prompt. It doesn't suit someone still on a free personal address: the business plans are a different product, and our guide to getting a proper business email address is the place to start.

What AI do I already have in my plan?

Check which plan you pay for first. It's on your invoice, or in the billing section of your admin account. Then find it in the table. This is drawn from each company's own pages as we read them in October 2026, and plans change, so treat it as a starting point.

The honest test is the same one we use for ChatGPT. Can you name a job you do every week that it would speed up? If you can, try it on that job for a month. If you can't, the upgrade is a monthly bill for curiosity.

What does Gemini in Google Workspace include?

On the cheapest business plan, Business Starter, Gemini helps in Gmail and Vids, with basic access to the Gemini app and limited help elsewhere. From Business Standard upwards, Google's own plan comparison lists Gemini in Docs, Sheets, Slides, Drive, Meet and Chat as well, plus Google's more capable models. Standard and Plus show the same AI features in that table, so nobody needs Plus for the AI alone.

In plain terms, Starter drafts and tidies emails. Standard can also help draft a quote in Docs, sort a messy price list in Sheets, or take notes in a Meet call. If your week is mostly email and the odd document, Starter's AI may be all you'll use.

What does Copilot in Microsoft 365 include?

Microsoft splits it in two. Copilot Chat comes at no extra cost with an eligible Microsoft 365 business subscription when you sign in with your work account, and it works like any chat assistant: you ask, paste in or upload what you want help with. The paid licence is what connects Copilot to your own work, so it can draw on your emails, files and meetings, according to Microsoft's Copilot for business page.

For smaller firms that licence is Copilot Business, an add-on for organisations of up to 300 people on Business Basic, Business Standard or Business Premium, per Microsoft's Copilot Business FAQ. It's paid for per person on top of your existing plan, so a team of four pays four times. We're not printing a price here because Microsoft has run promotions and bundles on it this year, so any figure goes stale fast. Check the UK page on the day you buy.

Is my business data safe with Gemini or Copilot?

On their business plans, both companies say your prompts and content aren't used to train their AI models. Google's privacy hub for Gemini in Workspace says Workspace "does not use customer data for training models without customer's prior permission or instruction", and that your interactions with Gemini stay within your organisation. Microsoft says the same of Copilot Chat when you're signed in with a work account.

Read the business terms, not the personal ones, because the protections described here belong to the business plans. Even then it's worth a house rule: nothing goes into any AI tool that you'd be unhappy to see in an email to the wrong customer.

Should I pay for this and ChatGPT as well?

Usually not. For a small business, one paid AI tool is plenty. The jobs overlap almost completely: drafting replies, rewording posts, tidying a document. If you already pay for ChatGPT and live in it, the add-on mostly buys you the same help in a different window. If you don't pay for anything yet, the AI already in your email package has one advantage a separate tool can't match: it sits where your work already is.

Our guide to whether ChatGPT is worth paying for walks through the same decision from the other side. And if the real question behind all this is what your business should be spending on its online setup, the website costs and choices hub puts the pieces side by side.

If the website is the bit that needs sorting, we build it for free first and you only pay if you want to keep it, from £495 setup and then from £69 a month. Tell us about your business on the contact page.

Frequently asked questions

Should I switch from Microsoft to Google, or the other way, to get better AI?

Almost never. Moving your email, files and calendar is a bigger job than any difference between the two assistants is worth to a small business. Use the one that comes with the package you already run, and judge it on your own work.

Can Gemini or Copilot write the words for my website?

Either can draft them, the same way ChatGPT can, and you still need to check every claim, price and promise before it goes live. Our guide to whether AI-written content hurts SEO covers what Google says about that.
